1. Who we are and scope of this policy
Adsmantraa is owned by Vivaan Shah and provides website, ecommerce, dropshipping, performance marketing and SEO services. This policy explains information handling connected with our agency website, enquiries and service relationships. You can contact us at support@adsmantraa.com or +91 7702688422.
This policy is distinct from the privacy policy a client needs for its own website or store. Where we handle a client’s customer data on its instructions, the project should specify the respective responsibilities and permitted processing. The client’s own privacy notice remains relevant to those customers.
2. Information we collect
Our enquiry form asks for your name, email address, phone number, company name, selected services and an optional business message. A selected package may also be included in the message sent with an enquiry. We receive information you provide when you email, call or discuss a project with us.
During an engagement, information may include authorised contact details, requirements, approvals, business content, invoices, correspondence and the access needed to deliver agreed work. Please do not place passwords, identity documents, payment-card details or sensitive personal information in the public enquiry message.
Hosting and communication providers may process technical information such as IP addresses, browser details, request times and error/security logs. The exact information depends on the provider and enabled configuration. We do not claim that visiting a website is entirely anonymous.
3. Why information is used
Enquiry information is used to understand the request, contact you, discuss scope, prepare a quotation and manage follow-up. Project information is used to deliver the accepted work, coordinate approvals, arrange handover, keep necessary transaction records and handle support, complaints or disputes.
Technical information may be used to operate and protect the website and investigate errors or abuse. Information should be limited to what is needed for the stated purpose. A new incompatible use requires an appropriate notice and legal basis rather than being silently added to an existing enquiry.
Sending an enquiry requests a response about that enquiry; it is not blanket permission for unrelated promotional email or WhatsApp campaigns. Any promotional programme requires its own lawful basis and a clear way to stop such messages.
4. Google Sheets, email and enquiry processing
The website submits enquiries through Google Apps Script to a Google Sheet used for lead management. Google services therefore process the submitted information. Enquiry notification emails may also be used in the associated workflow. Authorised business personnel review those records to respond and manage enquiries.
A successful website message indicates the endpoint has confirmed receipt; email delivery and later business follow-up are separate steps. If the form cannot confirm receipt, you may contact us directly. Please avoid repeatedly submitting sensitive details. Sheet sharing and mailbox access must be restricted to people who need them.
5. Service providers and outsourced work
We use hosting, email and productivity providers to operate the business and may use freelancers or specialist partners to deliver projects. Depending on the engagement, relevant providers may include Google, Hostinger, Shopify and Meta. Not every provider receives every visitor’s information simply because it is named here.
Partners should receive only the information and account permissions necessary for their assigned work, under appropriate confidentiality and data-handling obligations. Third-party platforms also have their own privacy notices and terms. Public links to Instagram and Facebook take you to those platforms, where their rules apply.
Information may also be disclosed where required by a valid legal process or necessary to establish or defend lawful rights, limited to the applicable purpose. This policy does not authorise unrestricted sharing or sale of enquiry lists.
7. Retention and deletion
Information should be kept only for as long as reasonably necessary for the purpose for which it was collected, an active engagement, necessary follow-up, recordkeeping or a legitimate legal obligation or dispute. A fixed retention schedule for enquiry records, project files, accounts and backups must be established before public launch.
When the purpose ends and no lawful retention need remains, information should be deleted or anonymised. A deletion request may not immediately remove records that must lawfully be kept; we should explain any applicable reason and restrict further use. Backups and provider systems may follow separate deletion cycles, which must be considered when responding.
8. Account access, security and handover
The business’s information-handling arrangements must include suitable access controls, secure credential handling and restricted sharing. No website, email service or cloud platform can be represented as absolutely secure. Specific security controls should not be claimed unless actually implemented.
When assisting with a dedicated email and hosting account, we act with the client’s authorisation. Handover gives the client control of the agreed accounts and deployed website. The handover checklist should confirm recovery details, password changes, removal of unnecessary agency/subcontractor access and the treatment of retained credentials. Continuing access requires an appropriate reason and authorisation.
If a personal-data incident occurs, we must investigate and take steps appropriate to the circumstances, including notifications where applicable law requires them. Please report suspected unauthorised access promptly through the contact details in this policy.
9. Choices, requests and complaints
You may contact us to ask about the information held about you, correct inaccurate details, request deletion or withdraw consent where processing relies on it. We will assess the request under the law applicable at that time and explain any legitimate limitation rather than promise an unconditional right that may not apply.
Withdrawing permission for optional promotional contact should not prevent a necessary response to an existing service issue. Where information is essential to a requested service, we will explain the effect of withdrawing it. Withdrawal does not itself make earlier lawful processing unlawful.
We may need proportionate verification of your identity or authority before sharing, changing or deleting information. We should not request excessive identity documents. Complaints and requests can be sent to support@adsmantraa.com with the subject “Privacy request”. Statutory complaint and escalation routes remain available where applicable.
10. Processing locations and international clients
Cloud providers and authorised partners may process information in locations outside your country. The actual arrangements depend on the service and project. We must follow applicable restrictions and required safeguards; this notice is not a blanket waiver of cross-border protections.
If a project serves people in another jurisdiction or involves regulated or sensitive information, the required data-handling arrangement should be assessed before access is provided. A general agency website policy does not replace a client-specific data-processing agreement.
11. Children and information about other people
Our services are directed at business enquiries, not at collecting information from children. If you believe a child’s information has been submitted without appropriate authority, please contact us so it can be assessed and handled under applicable law.
If you provide information about a colleague, customer or other person, you must be authorised to do so and provide any notices required for that disclosure. Do not send customer databases simply to request an initial quotation.
12. Portfolio and public project information
The Terms and Conditions explain permission to display publicly launched client work and a “Built by Adsmantraa” website credit. Such permission is limited by confidentiality, privacy and third-party rights. It does not authorise publication of private customer records, account credentials or unapproved testimonials.
Where a concern arises about personal information in a portfolio screenshot or other published material, contact us with the relevant page and details so we can assess correction, redaction or removal.
13. Updates and applicable requirements
This policy should be updated when actual collection, service providers or purposes materially change. Changes should be explained where appropriate and must not be used to retrospectively authorise an unrelated use of information.
Indian data-protection requirements have phased commencement. We must follow the provisions applicable to the relevant processing at the relevant time, including applicable Information Technology Act rules and the Digital Personal Data Protection framework as commenced. This policy does not claim that all provisions commenced on the same date or that publication alone establishes compliance.
